What is a Diary Service?
The film industry existed long before mobile phones.
Crew would go to set without any real way for productions to contact them about other work.
They were busy and often overworked, regularly taking on multiple roles. The only way for clients to get in touch was to leave a voicemail on your landline or queuing at a payphone to check your messages. Often, by the time you called back, the job had gone to someone else.
And so, the Diary Service was born.
Its mission was simple: one person managing multiple technicians’ schedules, keeping track of availability, passing on details, handling bookings, and navigating the constant back-and-forth of production enquiries.
What is a pencil?
A pencil is an availability hold, not a confirmed booking.
During busy periods, it’s common to have 1st, 2nd, and even 3rd pencils on a date. A 2nd pencil means another job currently holds first priority. If that second job wants to confirm, the first production can decide whether to release or keep the booking.
Some crew choose to give only a 2nd pencil, keeping the 1st free in case a preferred job comes along.
It sounds chaotic, but it’s a system the industry has relied on for years.
Traditional responsibilities of a Diary Service
At its core, a diary service focuses on:
- Managing bookings and pencils
- Acting as the main point of contact for clients
- Providing up-to-date availability
Contrary to popular belief, diary services aren’t there to get you work, that’s traditionally the agent’s role. Instead, they make sure opportunities don’t slip through the cracks, particularly when multiple productions are calling, emails are flying, and pencils are being challenged across several projects.
How the Role Has Evolved
The industry has changed. Smartphones, shared calendars, and emails on the go mean crew can technically manage their own diaries. But when juggling multiple projects and time-sensitive booking decisions, having someone keeping an eye on your schedule is still invaluable.
Diary services have naturally evolved to offer more support. Many now provide:
- Representation to raise crew profiles
- Promotion of experience and recent work
- Recommendations to clients looking for available crew

What Does a Diary Service Cost?
Diary management typically costs around £120 per month. For many crew, the real value is peace of mind: knowing that availability is being monitored, communications are handled clearly, and nothing is slipping through the cracks all while they focus on the work at hand
So then… What’s an Agent?
An agent’s primary role is to find you work.
Agents will actively research upcoming productions and send CVs to producers and production teams when they are crewing up projects. Many have long-standing relationships with producers and line producers, who may ask them directly to recommend technicians for specific roles.
A good agent should aim to increase both the volume and calibre of the work you are offered.
Agents may also:
- negotiate rates for you and your kit
- advise on contracts or working conditions
- manage discussions with production on your behalf
In return, agents normally charge a commission, typically around 10% of a technician’s fee.
Some agents charge this on everything billed… including kit hire and overtime, while others only take commission from the technician’s fee itself.
